The auto invoice generation functionality provides the capability to create digital invoices that can be sent via electronic means including email and EDI, or to generate paper invoices and PDFs.
OdooCloud provides the ability to securely re-send copy invoices to customers.
Supplier invoices may be saved as PDF and stored as backing information.
Multiple Period Processing is supported in order to allocate expenditure from a supplier invoice across multiple accounting periods to enable the prepayment of those costs to future accounting periods. Where a number of the accounting periods are closed, the GL posting will be to the current open GL period with the correct allocation to future periods that relates only to those future periods.
Payments can be registered singularly or in batches.
Single payments can be registered against an invoice and when a payment is on account, it can be allocated to an invoice from the invoice.
Payments received can be be allocated as full or part payments, and multi-customer payments.
It is possible to process write-offs and manual credits.
The solution is capable of auto-selecting invoices for inclusion on payment runs based on the invoice due dates or other defined parameters.
There is an option to de-select/remove invoices from the payment run before final submission.
Ad hoc payments
OdooCloud supports an input and upload facility to generate and issue ad-hoc bank-to-bank payments and cheques.
Payment authorisation workflow
Proposed payment runs have the option of having payments authorised.
Send to bank
The solution supports the processing of BACS, CHAPS, Faster Payments, and International payments.
There are twelve (12) accounting periods with one (1) adjustment periods for year-end adjustments within the calendar.
OdooCloud follows the principle of representing information as it exists in the real world, for example bank transactions should be loaded in as they appear on the statement, then allocated or reconciled as required.
Some transactions that go through external processors (such as inbound or outbound credit cards, bulk payments etc) are posted to an interim account to reflect the fact that they may have been reconciled against an invoice although not yet recorded in the bank. This also enables the composite bank statement line to be reconciled, and the items contained to also be reconciled.
Accounts can be configured as reconcilable as required, e.g.
- Bank reconciliation
- Bulk payments
- Credit cards and pre-payments (outbound / creditor)
- Inbound electronic payments (credit card merchant accounts etc)
- HMRC payments
- Wages & salaries
